Let the Flowmeets bot bypass the lobby in Microsoft Teams
This article is for admins and meeting hosts who use Microsoft Teams and want the Flowmeets bot to join meetings without manual admission.
What to know first
There is no single Microsoft Teams lobby setting that works for every meeting setup.
Whether the Flowmeets bot can bypass the lobby depends on the Who can bypass the lobby? setting and whether the bot is signed in to a Microsoft Teams account that matches the meeting requirements.
Recommended setup
If you want the simplest and most reliable setup, use one of these options:
- Set Who can bypass the lobby? to Everyone.
- Or set Who can bypass the lobby? to People who were invited, make sure the bot is signed in to a Microsoft Teams account, and add the bot's email address to the calendar invite.
These are the most straightforward ways to let the Flowmeets bot join without waiting in the lobby.
Other settings that can also work
Some other Microsoft Teams lobby settings can also allow the bot to bypass the lobby, but only if the bot is configured in the right way.
For example, the bot may need to:
- be signed in to a Microsoft Teams account,
- belong to the same Microsoft tenant as the host,
- be added as a guest in the host's tenant,
- be covered by a trusted tenant setup,
- be included in the calendar invite, or
- be added as a co-organizer.
If you are unsure which setup your organization uses, we recommend starting with Everyone or People who were invited.
How to update the setting in Teams
- Open the Microsoft Teams meeting.
- Open Meeting options.
- Find Who can bypass the lobby?
- Select the option that matches how your organization has configured the bot.
- Save the changes.
- Start a new test meeting and confirm that the Flowmeets bot joins without manual approval.
If the bot still waits in the lobby
- Check whether the bot is signed in to a Microsoft Teams account.
- Confirm that the selected lobby setting matches the bot setup.
- If you use People who were invited, make sure the bot's email address is included in the meeting invite.
- If you use an org-based setting, verify that the bot account belongs to the correct tenant or has been added as a guest or trusted tenant where needed.
- Test again with a newly created meeting.
For most teams, the safest recommendation is to use Everyone or People who were invited with the bot email added to the invite.
