How to set up private meetings

This article is for users and admins who need to restrict access to sensitive meetings in Flowmeets.



What this feature does


Private meetings limit visibility and sharing for a meeting. This can be configured per meeting or as a default setting for a specific user.


Option 1: Lock a single meeting


  1. From the Dashboard, find the meeting you want to make private.
  2. Click the lock icon for that meeting.
  3. In Meeting Settings, enable Lock meeting.
  4. Click Save Settings.



Option 2: Lock meetings by default for a user


  1. Go to Users.
  2. Open the user you want to manage.
  3. Click Edit.
  4. Enable Lock meeting by default.
  5. Save your changes.



What happens when a meeting is private


  • The meeting is not synced to your CRM.
  • The meeting cannot be accessed by other users in your organization unless they were participants in the meeting.
  • Privacy can be applied either to one meeting or automatically for future meetings for a specific user.


What you must do


  • Use private meetings when access should be restricted because of sensitive content.
  • Decide whether the setting should apply to one meeting only or all meetings for a specific user.
  • Make sure the user understands the effect of enabling private meetings by default.


What you must not assume


  • You must not assume that private meetings will still appear in CRM workflows.
  • You must not assume that making meetings private by default is right for every user.
  • You must not assume that privacy settings in Flowmeets automatically change access rules outside Flowmeets.


What to keep in mind


Private meetings help reduce visibility, but they also reduce collaboration and downstream sharing. Use them deliberately and only where restricted access is needed.
