How to set up Bot recording consent
This article is for team admins and users who configure how Flowmeets joins meetings and how participants are informed before recording may take place.
What this feature does
Flowmeets can automatically join meetings based on your team configuration. To support participant transparency, Flowmeets can also send an email before the meeting that gives attendees the option to opt out.
Our recommendation
Flowmeets recommends that you always inform participants and ask for recording notice or consent before recording starts, even if local rules may allow recording with only one informed party. In some countries, it may be enough that one party knows the meeting is being recorded, but from an ethical perspective we recommend that you always ask.
What you must do
- Review your local legal requirements and your organization's internal policy before recording meetings.
- Inform participants that the meeting may be recorded.
- Make sure the meeting owner or responsible user understands when recording is appropriate.
- Review whether the automatic opt-out email matches your team's intended process.
What Flowmeets does automatically
- Flowmeets joins meetings automatically based on your team's configuration.
- Flowmeets can send an opt-out email to customers before meetings.
- This email gives attendees a chance to opt out before the meeting starts.

What your team can configure
- Your team can decide how Flowmeets should join meetings.
- Your team can turn the pre-meeting opt-out email on or off in company settings.
What you must not assume
- You must not assume that local legal minimum requirements are the same as your organization's ethical standard.
- You must not assume that an automatic email replaces every notice or consent step your team may need.
- You must not assume that recording is appropriate in every meeting just because Flowmeets can join it automatically.
What to keep in mind
Flowmeets supports transparency by automating parts of the process, but your team remains responsible for deciding when recording should be used and how participants are informed.
